We are seeking a Sales and Catering Administrative Assistant to join our outstanding team.

An integral part of our Sales and Catering operation, this position is responsible for typing and processing sales contracts and departmental correspondence; organizing and coordinating administrative tasks; assisting team with general clerical duties; and answering telephones to ensure business objectives are achieved.

ESSENTIAL FUNCTIONS

  • Telephone coverage for sales and catering departments.
  • Typing sales contracts, memos, and general correspondence, reports and meeting minutes.
  • Pulling files as needed.
  • Create, update and maintain client files.
  • Create and update groups in Salesforce
  • Manage Group rooming lists
  • Distribution of sales leads from fax, mail and telephone inquiries. Proper writing of incoming sales leads.
  • Type and distribute Guarantee Sheet daily.
  • Type and distribute Event Log every Wednesday.
  • Type and distribute function sheets and changes to appropriate departments, as well as, clients.
  • Type and distribute group resume to appropriate departments.
  • Assist and participate in detailing meetings with upcoming clients
  • Assist in creation of Banquet Event Orders
  • Complete amenity requests and amenity cards as needed.
  • Complete correspondence procedure as described by Director of Sales and Catering Director.
  • Maintain thorough knowledge of all existing menus.
  • Maintain accurate and complete files.
  • Assisting team with telephone communications with clients and interdepartmentally.
  • Assembling sales kits and gift amenities.
  • Distribution/processing credit application and rooming lists and amenity forms, and handwriting note cards to accompany amenities.
  • Special mailings/projects as required.
  • Consistent follow-up on tasks and assignments as given by Managers.
  • Assist customers as needed with our office/department.
  • Sending, receiving and researching group history reports.
  • Maintain weekly sales productivity and (yellow) reader file for Managers.
  • Maintain sales office equipment and supplies.
  • Act as the Delphi System Key Operator and resource person.
  • Post Event billing in Salesforce and Opera
  • Assist with various marketing tasks, reports and projects.
  • Some interaction with local venders/suppliers.

QUALIFICATIONS

  • Ability to type 60 wpm, strong working knowledge of MS Office programs, such as Excel, Word, and Outlook is necessary.

  • Ability to multi-task and manage time well so as to productively and efficiently accomplish work tasks.

EDUCATION and/or EXPERIENCE

High school diploma is preferred. Any combination of education and experience equivalent to graduation from high school or any other combination of education, training or experience that provides the required knowledge skills and abilities. Two to four years of directly related work experience preferred.

PAY SCALE

The pay scale for this position is between $22.00 and $26.00 per hour. This is the pay range for this position that the Hotel reasonably expects to pay. Decisions regarding individual wage rates will be based on a number of factors, such as experience, type of hotel experience and education.
